Doorway is an office for your team that opens inside Discord. To do that it needs a little about you from Discord, and it keeps a little, such as your look and your desk. This page says what, why, for how long, and what you can do about it. It never hears your calls or reads your messages.
Who we are
Doorway is made and run by Spira Studio Ltd, a company registered in England and Wales (company number 17150890), registered office 80 Oakwood Drive, Manchester, M28 3HN. We decide how Doorway uses your information, which makes us its controller under UK data protection law.
Questions about your information, or anything on this page: hello@spirastud.io.
Doorway isn’t made by or affiliated with Discord. Discord has its own privacy policy for what it does with your information.
What Doorway gets from Discord
When you open Doorway, Discord asks you, the first time, to let it know who you are. With that, and through Doorway’s bot in your server, it gets:
- Who you are: your Discord user ID and the name you go by in that server.
- Your roles in that server, to check you may come in and whether you’re one of the office’s admins.
- The server’s name and icon, for the sign over the office’s door.
- Your Discord status and custom status (online, idle, do not disturb, and the words beside your name), so your status in the office can follow it.
- Where you are in the server’s voice channels, and whether you’re muted, deafened, on camera or sharing your screen, to move you between rooms’ calls and show it beside your name.
Discord tells the bot the status and voice of everyone in the server, not only people in the office. Doorway only holds that in memory, to show it for whoever opens the office, and never stores it.
Doorway also shows where you are in the office on your Discord profile (“In Meeting Room A”). Discord’s own Share my activity setting decides who sees that.
If you connect your calendar
You can connect your Google Calendar in Doorway’s settings, so the people in your office can see when you’re in a meeting and when you’re next free. Nothing happens unless you connect it.
- What Doorway asks Google for: only when you’re busy and when you’re free (Google’s “see your availability” permission), and your email address, to show you which account is connected. It can’t see your meetings’ titles, guests, places, descriptions or links.
- What it keeps: your Google account’s email address and the token Google gives it to keep asking, encrypted, with your Discord user ID. Kept until you disconnect your calendar, which also revokes the token with Google. You can remove Doorway in your Google account’s settings at any time too.
- What it doesn’t keep: your busy times. Doorway asks Google every few minutes while someone’s in your office, and holds the answer only in memory.
- Who sees it: the same people who see your status. You can hide it in Doorway’s settings without disconnecting.
Doorway’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
What Doorway keeps
Doorway keeps these things in its database, so they’re still there next time:
- Your look and your settings (including your working hours, if you set them), with your Discord user ID. Kept until you ask us to delete them.
- Your desk, if you claim one: your name, what’s on it, your chair, your time zone (if you share it), the status message you left, and your working hours. Kept until you give it up, or the office’s admins remove the desk.
- Notices on the notice board: the text, who pinned it, and who’s seen it. Deleted when the notice comes down.
- Who’s an admin of the office: the roles and people its Discord admins chose, with people’s names. Kept until they change it.
- Who’s been in the office: user IDs, names and when each person was last in, so its admins can pick admins from them. The most recent 300 people for each office; older ones are dropped.
- “Tell me when” requests: who’s waiting for whom. Each is deleted when it happens, or at the end of the day it was asked.
- Who Doorway has muted in a quiet room’s voice channel, to undo it when they leave. Removed once it’s undone.
- Your connected calendar, if you connect one: which account it is, and its token, encrypted (see above). Kept until you disconnect it.
- Each office’s set-up: its layout, lights, brand (name, colours, and any logo its admins upload), its pets, and its #front-door channel.
If Doorway’s bot is removed from a server, that office’s information is kept, so it’s all there if the bot is added again, until the server’s admins ask us to delete it. Older copies of the database, kept as backups, can still hold information for a while after it’s deleted from Doorway.
Our server also keeps short technical logs to help us fix problems, which can include a Discord user ID or name.
What it doesn’t keep
- Your calls: Doorway never hears or sees them. Calls happen in Discord.
- Your messages in Discord: Doorway doesn’t read them.
- Where you are in the office, your status and your voice: these only live in memory while you’re in.
- When you’re busy, from your calendar: only in memory, and never what your meetings are.
- Your Discord password or sign-in: Discord signs you in. Doorway holds the access Discord gives it only while you’re in the office, and doesn’t store it.
There’s no advertising, no tracking and no analytics, and we don’t sell anyone’s information.
Who sees what
Doorway is shared with the people in your Discord server who can open it. They see your name, look, status and status message, where you are in the office, your desk, your local time (unless you turn that off), your working hours (if you set them), when you’re in meetings (if you connect your calendar), and what you’re doing in voice.
The #front-door channel Doorway makes in your server shows who’s in the office at the moment, and notices its admins choose to put there.
If you ask Doorway to tell you when someone’s free, back or in, nobody is told you asked. If you’ve left the office by then, Doorway’s bot sends you a Discord message, unless you’ve turned that off in Doorway’s settings.
Who else is involved
- Discord, which Doorway runs in. What Discord does with your information is up to its privacy policy.
- Hetzner Online, whose servers in Germany run Doorway and hold its database.
- Google, if you connect your Google Calendar: Doorway asks it when you’re busy. What Google does with your information is up to its privacy policy.
- Open-Meteo, for the weather over the office. It’s sent a rough location (to two decimal places, about a town) worked out from the time zone most of the office is in, and nothing about anyone.
We’d only share anything else if the law required it.
Why we use it
We use your information to run Doorway for you and your team: the office its admins set up, and the things you ask it to do. That’s our legitimate interest in providing Doorway, and in providing the service your server’s admins asked for when they added it. We don’t use it for anything else.
Doorway is for people old enough to use Discord: at least 13, or older where the law says so.
Your rights
Under UK data protection law you can ask us for a copy of what Doorway keeps about you, ask us to correct it or delete it, or object to how we use it. Email hello@spirastud.io from an address we can link to your Discord account, or tell us your Discord user ID, and we’ll answer within a month.
You can do some of it yourself: change or clear your status message, stop sharing your local time, turn off working hours or DMs in Doorway’s settings, hide or disconnect your calendar, and give up your desk.
If you’re not happy with how we’ve dealt with something, you can complain to the Information Commissioner’s Office at ico.org.uk.
This website
This website doesn’t use cookies or analytics. Its font comes from Google Fonts, so your browser asks Google for it, and Google sees your IP address. Our web server keeps short logs of requests, including IP addresses, for security.
Inside Doorway, your browser keeps a copy of your look and settings, so they’re there straight away next time. That stays on your device.
Changes
If Doorway starts keeping or using anything new, we’ll update this page first and change the date at the top.
